Job Description

Title: Finance & Administration Manager

Location:  The role will be home-based with the possible occasional requirement for international travel, and will cover part-time, 2.5 days per week (FTE = 0.5). Remuneration will be negotiated dependent upon experience.

The World Federation for Animals

WFA was established in 2021 by impactful and world-renowned NGOs to advocate for policies that protect animals at the global level.  The successful candidate will support the smooth functioning of the Federation, which is already succeeding in making the world a better place for animals at the international policy level.

The role and the team

This role is a genuine unique opportunity to be part of making a real difference at a global scale. It is a varied role which touches on several disciplines and therefore will give a birds-eye view of the functioning of the Federation, contributing to its success.

The post holder will coordinate finance and administrative activities, both within the Federation and across our members and members worldwide. A major part of a small team of professional, ambitious, supportive, and passionate individuals, the Finance & Administration Manager will work closely with WFA’s Board, composed of global leaders in the animal protection movement.

Main responsibilities & duties

The F&A Manager is responsible for WFA’s overall financial management, HR and governance administration.

Financial administration, recording, control, budgeting and reporting

  • Books all income and expenditure in accounting software both legally and analytically 
    • Collects, controls and then enters supplier invoices in the software 
    • Researches and resolves invoice discrepancies and issues; 
    • Manages time tracking per staff member per work area to ensure project control and swift adjustments in case of over/underspend; 
    • Records all costs analytically;
    • Performs monthly bank reconciliation;
  • Issues invoices on behalf of the organization
  • Prepares invoices for payment in the banking softwares used; performs payments to employees by receiving and verifying expense reports;
  • Analyses accounts payable and receivable, tracks expenditure and income against the budget and reports on variance; generates monthly legal and analytical management reports, quarterly Board reports and annual General Assembly reports, including financial position and trend analysis; 
  • Closes and produces the annual accounts (profit and loss, balance sheet, cash flow statement), and manages the annual audit process;
  • Produces financial reports for donors as required;
  • Optimizes financial governance processes and supports prudent financial management and reporting, by developing and operating due processes and systems for financial scenario planning, budgeting, reporting, analysis and risk management

Human relations and resource management

  • Provides advice for management (in liaison with outsourced HR services) on questions relating to HR policy, remuneration, and employee relations management 
  • Ensures the WFA’s employee and HR policies and practices are fit for purpose and in line with the WFA strategy and resources

Governance support 

  • Support the WFA Chair in managing the Board and Executive Board recruitment, meetings, reporting, self-assessment and continuous improvement.

Key Relationships

The F&A Manager will have regular contact with all colleagues, especially those responsible for programme and project budgets, as well as with external service providers (e.g. bookkeeping, auditor and outsourced HR).

You will need to have varied experience and expertise sufficient to manage different areas of finance and governance day-to-day. You will have a character which is both diplomatic and capable of finely detailed scrutiny. You will need to be a deep team-player who loves working with brilliant colleagues across diverse organizations to achieve unprecedented results.

Experience 

  • Essential: Relevant finance administration/bookkeeping educational background or experience
  • Essential: Proven experience of financial budgeting, reporting and managing auditing processes
    • Desirable: Experience of charity governance

Skills

  • Essential: Advanced spreadsheet skills (Google Sheets as well as MS Excel is an advantage);
    • Desirable: Knowledge of US accounting requirements;
    • Desirable: Chartered/Certified or advanced qualifications 
    • Desirable: Sound understanding of payroll management and related HR matters in an international context;
  • Essential: Strong communication and presentation skills in English;
    • Desirable: Other languages
